BASIC PURPOSE:  

The AR/AP Specialist is primarily responsible for the timely and accurate accounting of Postage activity and for the timely billing of work performed and some accounts payable functions based on established procedures.

ESSENTIAL FUNCTIONS:   

Postage Activity:

  1. Prepares monthly reconciliation of all Postage activity, verifies general ledger accounts and prepares the financial statements.
  2. Reconciles stamp inventory, permit balances and meter balances at least monthly.
  3. Reviews the meter logs from Production and summarizes the daily activity.
  4. Prepares the Daily Postage Report for Management.
  5. Estimates daily Postage requirements based on the Production Schedule.
  6. Prepares client billing for Postage due as needed.
  7. Provides Postage information to Client Services as needed.

Billing:

  1. Timely prepares client billing from completed job work orders and count sheets based on Quotes, Standard Pricing, or other information provided by Client Services, Sales or other departments for jobs that have mailed.
  2. Prepares client billing as directed for other services provided by the company.
  3. Tracks Cost of Sales by job to ensure all costs are included in pricing. Cost of Sales includes vendor invoices provided by Accounts Payable, freight/shipping documents, and other documentation compiled by job number.
  4. Utilizes the daily Production Schedule and the daily Jobs Mailed report to ensure that all jobs that mailed during the month have been billed by the end of the month. May also receive other verbal or written instructions from Client Services, Sales or other departments to ensure that all Postage due, jobs, services, etc. are billed.
  5. Produces various reports of billing activity monthly or as requested by management.
  6. Ensures that billing files are properly maintained according to established procedures.

Accounts Payable: General knowledge of Accounts Payable processing.

  1.  Reconciliation of freight invoices
  2.  Assignments of Purchase Order numbers – nonproduction
  3.  Vendor Payable checks:   Scan check with all backup information, prepare checks for mailing

NON-ESSENTIAL FUNCTIONS:

  • Maintain a positive, friendly, cooperative attitude.
  • Participate in all special projects, task forces, committees and other responsibilities as assigned and/ or requested.

Hours Required

  • 40 hours week, Monday through Friday. 
  • Scheduled times are 7am – 3:30pm.  Times may be flexible based on need. 
  • Occasional overtime may be required.

KNOWLEDGE AND SKILLS:   

Education

  • High School Diploma, some college or degree preferred.

Experience

  • 3 – 5+ full years of employment in a related position with like company or organization(s)

PHYSICAL DEMANDS:   

Stooping/ Kneeling/ Crouching

  • Bending body downward and forward by bending spine at the waist, coming to rest on knee or knees and bending the body downward and forward by bending leg and spine required to stock and retrieve inventory from low level shelving and wrap small pallets and mail trays.   

Reaching

  • Extending hand(s) and arm(s) in any direction is required for reaching items stored in high or hard to reach places and to assist in machine operating. 

Standing/ Sitting

  • Remaining stationary while performing tasks either at a standing or sitting position for extended periods of time.  Up to 2 hours at a time throughout the workday. 

Walking

  • Moving on foot to accomplish tasks, particularly for movement around the plant and while performing tasks. 

Pushing/ Pulling

  • Using upper extremities to press against something with steady force in order to thrust forward, downward or outward and/or to exert force in order to draw, drag, haul or tug objects in a sustained motion to move items from one location to another.  Weight can be up to 1 ton.

Lifting/ Carrying

  • Raising objects from a lower to higher position or moving objects horizontally from position-to-position to move items from one location to another.  Weight can be up to 70 lbs.

Feeling/ Grasping/ Use of Fingers

  • Picking, pinching, applying pressure to an object with fingers and palm are used to perform tasks.

Talking

  • Expressing or exchanging ideas by means of spoken word is needed to communicate requests with coworkers, superiors, etc. and warn of safety concerns in emergency situations.

Hearing

  • Perceive the nature of sounds at normal speaking levels to ensure safety while working in Production/ Warehouse areas and hear verbal requests for job tasks.

Vision

  • Required to have visual acuity to operate equipment and prepare and analyze data and figures, view a computer terminal, visually inspect materials and read at distances close to the eyes. 

WORK ENVIRONMENT:   

Atmosphere

  • Subject to inside environmental conditions as activities occur inside. 
  • Inside approximately 100%.
  • Outside approximately 0%.

Protective Clothing

  • Close-toed shoes required on production floor. 
  • Ear plugs, gloves and other safety equipment are required for certain machines on production floor.
